All the components in your fleet need regular maintenance to keep vehicles running safely and avoid costly breakdowns. But how often should you schedule this maintenance? Generally, you’ll want to inspect your vehicles at least once a month. But certain parts need care at different frequencies. To help you stay on top of it, here are some common parts found across most commercial fleets and how often each one needs attention.

Engine Oil and Filter

Oil is what keeps your engine from grinding itself apart, so this one has no room for guessing. For most commercial fleet vehicles, an oil and filter change every 5,000 to 7,500 miles is the standard interval. Diesel engines running under heavy loads may need it closer to every 5,000.

What happens if you let it go too long? Old oil loses its ability to lubricate properly, and the engine starts working harder than it needs to. That extra friction builds heat, and heat causes wear on parts that are expensive to replace. Check the oil level visually at every pre-trip inspection so you catch low levels before mileage does.

Tires

Tire maintenance isn’t just about swapping them out when the tread wears down. You need to check tire pressure weekly because temperature changes cause pressure to drop, and underinflated tires wear unevenly and reduce fuel efficiency. Tread depth should be measured monthly.

Rotate tires every 6,000 to 8,000 miles to distribute wear across all four positions. On heavy commercial vehicles, uneven wear patterns can develop faster because of load weight, so don’t assume all four tires are wearing at the same rate. A visual check before every trip takes two minutes and catches cuts, bulges, or embedded debris before they become a roadside problem.

Brakes

Brake inspections should happen every 12,000 miles or every six months, whichever comes first. For vehicles hauling heavy loads or operating on hilly routes, that interval shortens. Brake pad thickness, rotor condition, and brake fluid level all need to be checked together because they work as a system.

Brake fluid absorbs moisture over time, and that moisture lowers its boiling point. When fluid boils under heavy braking, you get vapor lock, which reduces stopping power. Flush and replace brake fluid at least every two years regardless of mileage.

Air Filters

Your engine needs clean air to combust fuel efficiently. A clogged air filter forces the engine to work harder, which burns more fuel and reduces power output. For most fleet vehicles operating in normal conditions, replace the air filter every 15,000 to 30,000 miles.

Vehicles operating in dusty environments, like construction sites or unpaved roads, need the filter checked far more frequently, sometimes as often as every few thousand miles. A restriction indicator on the air intake system, if your vehicle has one, tells you when the filter is too clogged to do its job. Don’t wait for the mileage interval if the indicator is already showing a problem.

Coolant System

The coolant system keeps your engine from overheating, and it’s one of the more commonly neglected areas in fleet maintenance. Check coolant level monthly and inspect hoses for cracks, swelling, or soft spots at the same time.

A full coolant flush should happen every two years or every 30,000 miles, depending on the fluid type. Extended-life coolant can go longer, but you should still test it annually with a test strip to confirm pH and freeze-point protection are still within range. If the coolant looks brown or oily, that’s a sign of contamination, and the system needs to be flushed before the next scheduled interval.

Transmission

Transmission fluid breaks down under heat, and commercial vehicles generate a lot of it. For automatic transmissions, change the fluid every 30,000 to 60,000 miles. Manual transmissions typically need a fluid change every 30,000 to 50,000 miles.

If your fleet vehicles tow heavy loads or idle for extended periods, the fluid degrades faster than mileage alone would suggest. Check the fluid level and condition monthly. Healthy transmission fluid is red or pink and doesn’t smell burnt. Dark fluid or a burnt odor means the fluid is breaking down, and continuing to drive on it puts the transmission at risk.

Hydraulic Cylinders

The hydraulic cylinder is part of a pressurized system. It converts hydraulic fluid pressure into mechanical force, which powers components like dump beds, lift gates, and plows. The most important maintenance tip for hydraulic cylinders is to check them at least every three months.

Look for fluid leaks around seals, rod scoring or pitting, and any signs of corrosion on exposed metal. A damaged seal doesn’t just cause leaks; it allows contaminants into the fluid, which accelerates wear on internal components. Hydraulic fluid should also be tested for contamination and replaced on a schedule based on hours of operation rather than mileage, since cylinders run on cycles, not miles.

Belts and Hoses

Serpentine belts and hoses are easy to ignore until they fail. A serpentine belt should be inspected every 25,000 miles and replaced every 60,000 to 100,000 miles depending on the manufacturer’s specification.

Hoses need a physical check every six months. You’re looking for soft spots, swelling near the clamps, surface cracking, or any sign of seepage at the connection points. A hose that looks fine from the outside can be deteriorating from the inside, so age matters as much as appearance. If a hose is more than four years old and hasn’t been replaced, it warrants a closer look regardless of how it looks externally.

Battery

Fleet vehicles that sit between routes or operate in extreme temperatures put more strain on the battery than typical passenger vehicles. Test battery voltage and load capacity every six months. Most commercial batteries last three to five years, but regular testing tells you where a specific battery actually is in that range.

Clean terminal connections at every inspection. Corrosion on the terminals increases resistance and can cause slow cranking or starting failures even when the battery itself still has capacity. If a vehicle is consistently slow to start, test the battery and the alternator together, since a failing alternator drains a healthy battery faster than normal.

Lights and Electrical

Every light on a commercial vehicle, running lights, brake lights, turn signals, and reverse lights, needs to work every time the vehicle rolls out. Check all exterior lighting weekly. Burned-out bulbs on a commercial truck aren’t just inconvenient; they’re a violation and a liability.

Beyond bulbs, inspect wiring connections and harnesses during monthly maintenance checks. Exposed wiring or loose connectors can cause intermittent failures that don’t show up during a quick pre-trip check but create problems on the road. Moisture intrusion into connectors is a common issue on older vehicles, and it causes corrosion that disrupts the circuit without blowing a fuse.

Keep Your Fleet on a Schedule That Actually Works

How often you should perform maintenance on a fleet depends on the parts involved, the load your vehicles carry, and the conditions they operate in. No single interval covers everything.

Build a master schedule that tracks each component by its own interval, whether that’s weekly, monthly, or by mileage. When maintenance gets tracked component by component, nothing gets missed because something else was due at the same time.
